Lead Virtual Assistant for Airbnb Management Company

We are an Airbnb Management company based in Canada (Toronto) with over 4 years of operations and over 60 units.

We are seeking a dedicated and detail-oriented Lead Virtual Assistant (VA) to join our Airbnb management team. As a Lead VA, you will oversee other VAs, provide training, ensure quality control, and offer guidance. Your primary responsibility will be to support seamless property operations, exceptional guest experiences, and effective property maintenance. This dynamic role requires strong communication, proactive problem-solving, and the ability to work independently.

1. Team Oversight & Leadership

  • Train, guide, and supervise a team of VAs to maintain high performance and adherence to quality standards.
  • Offer feedback, maintain relationships with key team members (cleaners, maintenance personnel), and lead effectively.

2. Communication

  • Maintain clear, efficient, and timely communication with guests, contractors, and team members.
  • Understand when to escalate or gain feedback/confirmation from the Owners
  • Follow up on delayed responses, escalate issues when necessary, and manage relationships between stakeholders.

3. Operations & Property Management

  • Reservation Management: Manage booking processes, cancellations, and reservation inquiries.
  • Smart Lock Management: Monitor and control smart lock access for guests and maintenance personnel.
  • Cleaning & Maintenance: Schedule cleaning services, oversee boots-on-the-ground tasks, and request cleaner-provided photos to ensure property readiness.
  • Streamline communication between all of these stakeholders and hold each accountable

4. Procurement & Expense Management

  • Place orders on platforms like Instacart, Amazon, Walmart, Canadian Tire, and IKEA for property launches and consumables replenishment.
  • Track expenses and maintain an updated expense tracker.

5. Security & Process Improvements

  • Monitor security cameras for guest and property safety.
  • Evaluate and recommend improvements to current processes and documentation for enhanced efficiency.

Qualifications and Skills

  • Language Proficiency: Fluent in English (speaking, writing, reading). Ability to be fun/casual in speaking tone
  • Experience: Prior experience with Airbnb, VRBO, Hospitable, Pricelabs, QBO, and Microsoft Excel is a strong asset.
  • Detail-Oriented: Capable of managing complex tasks with accuracy.
  • Independence: Able to work autonomously and demonstrate initiative in problem-solving.
  • Resourcefulness: Skilled in leveraging resources like past conversations, internal documents, online research, and AI tools (e.g., ChatGPT) for effective solutions.
  • Timeliness: Respond promptly (within 5-10 minutes) to messages from guests, cleaners, and handymen.
  • Technical Requirements: Must have a reliable VPN.
  • Professionalism: Able to supply invoices/receipts for services on a bi-weekly basis.
